Welcome to the Membership Renewal and Unit Renewal page. These renewal processes are completely new for 2024. Please review the information on these pages carefully and contact us if there are any questions.

Overview

– Starting 8/01/2023, all memberships are individual twelve month terms. All memberships will need to be renewed individually based on their expirations dates; refer to the Important Membership Renewal Dates table. ▶

The membership period is from the first of the month of the month in which the member originally joined to the last day of the month twelve months later. For example, if a new member joined on 8/07/2023, then their membership period will be 8/01/2023 through 7/31/2024 (the first day of the month in the month they registered through the last day of the month twelve months later).

Members will get renewal notices by email starting sixty days (i.e., two monts) prior to expiration date. The next notification email messages will occur forty-five days and then thirty days before the membership expiration date.

Members must renew their memberships on or before their membership expiration date! 

– There is a sixty day (i.e., two months) lapse period from the membership expiration date. The membership is suspended during this time. Adults cannot serve as leaders and youth are unable to work on advancement. The membership will be cancled if not renewed by the end of the lapse period. The member will need to submit a new application in order to join Scouting again.

Adult membership renewals will need to be approved by the unit Chartered Organization Representative (COR) or COR Delegate before the new membership term takes effect. Youth memberships will need to be approved by a member of the unit Key 3 (Unit Leader, Unit Committee Chair, COR).

The Council will review and approve adult memberships for those not affliated directly with a unit.

The following fees will be included in the Membership Renewal for each applicable member:

  • National Registration Fee (effective 5/01/2024)
    • $85/yr for Cub Scouts, Scouts BSA, Venturing, and Sea Scouting participants
    • $65/yr for Adult Volunteers
    • $25/yr for Merit Badge Counselors, Nova Counselors, and Supernova Mentors
    • $50/yr for Exploring participants Youth and Adults
  • Council Fee = Council Activity Fee* (effective 7/01/2024)
    • Cub Scouts = $55
      ℹ Note: Information was previously sent to Lions renewing as Tigers by email on how they will pay only $25 for the Council Activity Fee. New Lions and Tigers will receive a coupon code to discount the Council Activity fee to $25.
    • Scouts BSA = $80
    • Venturing (non-multiple, under the age of 18) = $80
    • Sea Scouts (non-multiple, under the age of 18) = $80
    • Exploring (non-multiple, under the age of 18) = $80
    • Adult Volunteers = $6 (Council insurance fee)
  • Administrative Fee
    • 3% for credit/debit card transactions
    • $1 for Bank Transfer (i.e., ACH Payment) per batch (unit-pay only).
  • Scout Life Magazine Subscription Fee = $15 (optional, but it will be selected by default and will need to be unselected if it is not wanted)
Note: All membership fees are NON-REFUNDABLE.
 

*Families renewing more than three Scouts will need to register their youngest Scouts (any beyond the first two oldest) manually at the Scout Achievement Center (SAC) in order to receive the appropriate Council Activity Fee discount for the Scouts beyond the first two.

  Members with multiple registered positions

  • Members registered in one or more BSA positions will only need to pay membership registration fee once. 
  • All positions will be renewed when the member renews their primary registerd position. The expiration date for all positions should be set to the same one as their primary registered position.

  Financial aid is available!

  • Program Information – The Dan Beard Council (DBC) is committed to making Scouting available to all youth. In support of that commitment, the council may pay up to $40 of the cost of registration families cannot afford. The dollar amount requested must be the difference between the fees and what the youth, unit, and/or chartered organization can afford.
  • Assistance Availability – To help ensure there are sufficient funds to help all youth enjoy Scouting, we encourage units to participate in the Annual Popcorn Sale, Coffee Sale, and Camp Cards. Please note, as a limited amount of funds is available each year, we cannot guarantee that every youth that applies for this program will receive assistance.

  Merit Badge Counselors (MBC)

  • Adult members that are registered as a MBC only will receive membership renewal email notifications like all other members. If this does not happen and/or you would like to register as a MBC, then you will need to contact the Council and submit a new membership application. For more information, please refer to the About Merit Badge Counselors page.
  • Adult members registered in other BSA position that have already paid the $65 National registration fee will not be charged an addtional $25 to be a MBC. Their MBC position status will be renewed when their primary membership registration is renewed.
  • Assistance Availability – To help ensure there are sufficient funds to help all youth enjoy Scouting, we encourage units to participate in the Annual Popcorn Sale, Coffee Sale, and Camp Cards. Please note, as a limited amount of funds is available each year, we cannot guarantee that every youth that applies for this program will receive assistance.

Timeline

Below is an overview of the general Membership Renewal timeline. Please note that the dates listed reflect those for the bulk of the current members whose membership will expire on 10/31/2024. Those who have joined since 8/01/2023, will have different key dates based on their membership expirations and should be addressed accordingly.

Be Prepared – Preparation

Units should work directly with their adult leaders and parents/guardians to:

  1. Review the new Membership Renewal process, identify a Unit Renewal Champion to assist members wih their renewal(s), and create an overall renewal strategy/plan for the unit. Refer to the Renewal Methods section below for more information.
  2. Communicate with families about the new Membership Renewal process.
  3. Ensure that all email addreses for leaders and parents/guardians are linked to Scouts are valid and able to receive messages from noreply@scouting.org (members should add this address to the safe/accepted senders list in their email accounts.
  4. Determine if the unit will be paying for its members (e.g., adult leaders and/or Scouts) and communicate with its members as to how the renewals and fee payments may differ from the reminder emails sent by National and how the unit is going to complete the renewals and collect payments.

Family/Self-Pay Online (PREFERED) – Member pays for self and/or family members ONLINE using credit/debit card

  Receive Membership Renewal notification

Members will receive renewal notification from the system sixty days prior to the membership expiration dates for themselves and/or family members by email as well as alerts in the My.Scouting.org and Scoutbook applications. Refer to the screenshots to the right for examples.

– Access the online Membership Renewal system

Click the link in the email message or system alert be directed to the online Membership Renewal system, login, and then following the instructions.

The system (and current renewal status) can also be accessed by browsing to My.Scouting.org > My Application > My Renewals.

– Agree to the Terms & Conditions and pay online

  1. Review the primary registration position, if necessary.
  2. Agree to the Terms & Conditions.
  3. Review the fees; uncheck the box for Scout Life magazine if you do not want to receive it.
  4. Input credit/debit card payment information.
  5. Submit the request.
  6. Check your email for the confirmation message.

Family/Self-Pay Offline – Member pays for self and/or family members OFFLINE using a check

Members will receive renewal notification from the system sixty days prior to the membership expiration dates for themselves and/or family members by email as well as alerts in the My.Scouting.org and Scoutbook applications.

– Go to the Scout Achievement Center 

If the membership cost is NOT going to be paid by the unit, then the member can visit the Scout Achievement Center (SAC) and work with the staff member at the front welcome desk to lookup and renew the necessary memberships. Payments can be made by check (to Dan Beard Council, BSA) or credit/debit card (with an additional fee).

Unit Pay Online (PREFERED) – Unit pays for members ONLINE using credit/debit card or ACH transfer

  Access the online Unit Roster

A member of the Key 3 or the Charter Orgnaziation Representative (COR) Delegate can access the Membership Renewal system (and current renewal status) by browsing to My.Scouting.org > Menu > Select Unit > Organizational Manager > Roster.

Note: If the members self-pay before the unit can submit its order, then the member can no longer be renewed and paid for by the unit. The unit will need to reimburse the member from unit funds, if necesary.

Create Renewal Order

  1. Filter the Roster, if desired.
  2. Opt Out members that will NOT be returning.
    Note: This option cannot be reversed! If a mistake is made, then please contact the DBC Registrar for assistance.
  3. Check the boxes next to the members that you would like to renew and click the Renew button in the menu bar at the top of the list.
    ℹ Note: Only those members that are Eligible to Renew (two months prior and up to one month after their expiration date) can be selected. Any remember not renewed either by the unit or by the member will automatically drop from the roster one month after their membership expirations dates.
  4. Add or remove Scout Life magazine subscriptions for the members.
    ⚠ Note: The subscription is selected by default for all members!
  5. Mark member(s) as Multiple if their primary membership is in another unit.
    ℹ Note: Scouts between the ages of 18-20 that are registered in both a Scouts BSA Troop and Venturing Crew or Sea Scout Ship should have their primary registrations listed as either the Crew or Ship. Any member that is 18 or older must complete YPT.
  6. Click Create Renewal Order button at the bottom of the page.

Pay for the Unit Order online

  1. Review the fees breakdown at the top of the Payment Summary page.
  2. Input Credit/Debit Card (3% fee) or ACH Payment ($1.00 fee) information.
  3. Submit the payment to complete the order.

Unit renewal orders can be found at the bottom of the  Roster page:

  • The Unit Orders section includes renewal batches that have been paid.
  • The Unit Orders By Batch section includes renewal batchs that have not yet been paid.

ℹ Note: Members cannot be added or removed from batches, but additional batches can be created and there is no limited to the number of batches that can be submitted.

Create the Membership Renewal Paperwork

  1. Filter the Roster, if desired.
  2. Opt Out members that will NOT be returning.
    Note: This option cannot be reversed! If a mistake is made, then please contact the DBC Registrar for assistance.
  3. Check the boxes next to the members that you would like to renew and then click on the Print > Unit Payment of Membership Renewal option from the report menu bar (see screenshot below).
  4. Download and save the Unit Payment of Membership Renewal Paperwork from the pop-up box.

  • Only those members that are Eligible to Renew (two months prior and up to one month after their expiration date) can be selected. Any remember not renewed either by the unit or by the member will automatically drop from the roster one month after their membership expirations dates.
  • Scouts between the ages of 18-20 that are registered in both a Scouts BSA Troop and Venturing Crew and/or Sea Scout Ship should have their primary registrations listed as either the Crew or Ship.
  • Any member that is 18 or older must complete YPT.

  1. Open the downloaded Unit Payment of Membership Renewal Paperwork PDF file from the location to which it was saved.
  2. Print the paperwork file.
  3. Make any necessary updates on the report such as the following:
    • Change Scouting Life to Yes for those who want it and add $15/each to the overall total.
    • Families with more than two Scouts will only need to pay the Council Activity Fee for two Scouts (those with the higher of the tiers for the different program fees).
    • Make a note next to each member that recieved financial add from the Council and deduct the amount for each from the overall total.

ℹ Note: To change this paperwork, you will need to delete it from the list of batches at the bottom of the Roster page and then recreate it.

– Go to the Scout Achievement Center 

If paying the Membership Renewal fees by a physical check (made out to Dan Beard Council, BSA), then either a Key 3 member or the COR Delegate can take the printed Membership Renewal Paperwork to the Scout Achievement Center (SAC). Go to the front welcome desk and work with the staff member complete the Membership Renewals. Please allow enough extra time for a potential lines or questions. The SAC front desk is staffed 9:30 am – 5:00 pm, Monday through Friday.

Important Reminders

  • All BSA memberships are individual twelve month terms since 8/01/2023.
  • Adult members and the linked parents/guardians for youth will get renewal notices by email starting sixty days (i.e., two months) before the membership expiration date. Membership Renewal is available starting at that time. It is unavailable to use prior to this point.
  • Members selected to be renewed by the unit will receive individual renewal notification email messages.
  • There is a thirty day (i.e. one month) lapse period after the date of expiration before the membership will be canceled.
  • Units will need to approve adult members once they have renewed and paid for their updated membership.
  • Membership expiration dates for members with multiple units and/or positions will now all align to the member’s twelve month expiration date.
  • Members are no longer listed on unit charters.
  • Units will need to review membership statuses on a MONTHLY basis since memberships are now on a twelve month cycle for each individual.
  • If paying the Unit Renewal fee by a physical check (made out to Dan Beard Council, BSA), then either a Key 3 member or the COR Delegate can take the printed Unit Order Batch Details and Payment Summary to the Scout Achievement Center (SAC). Go to the front welcome desk and work with the staff member complete the Membership Renewals.   • Members not registered with any unit will need to be approved by the District/Council depending on their position(s).

Frequently Asked Questions (FAQ)

  1. Review the Membership Renewal or Unit Renewal page at https://danbeard.org/renewals, including the FAQ and Resources (e.g. screenshot documents) at the bottom of the pages. These are all updated regularly.
  2. Contact your Unit Commissioner. Find their name and contact information at https://my.scouting.org > Organization Manager > Unit Dashboard > Unit Summary > Commissioners > click on the name of the Commissioner listed. If you do not have a Unit Commissioner, then contact your District Commissioner at https://danbeard.org/resources/commissioners/commissioner-team/.
  3. For financial aid help, contact your District Executive or District Commissioner.

If the above options are unable to answer your questions or provide the necessary assistance, then you will be connected with somebody who can!

No, Dan Beard Council (DBC) does not plan to create any help videos for the new renewal processes because the are evolving weekly, if not daily, and it just isn’t possible to update videos that frequently. However, the DBC Renewals web pages are and linked resources are being updated as quickly as possible when changes are discovered.

Other Councils have created and shared videos, but they are already mostly out of date with the current process details.

No, Dan Beard Council does not currently plan to send any additional reminder emails about Membership Renewals. 

Members will get email reminders from National sixty, thirty, and fifteen days prior to membership expiration and seven days afterward.

Unit Key 3 members will get Membership Renewal summary reports on a monthly basis. They will also receive membership approval notification email messages as members renew their own memberships and need approved.

Dan Beard Council recommends that units assign a committee member with “Key 3 Delegate” or “View Registration” access to review the unit Roster in Scoutbook Plus on a monthly basis (preferably at the beginning of each month) to stay up to date with which members are eligible to renew and/or are late renewing (and are therefore suspended). This person should then follow up with the members as needed to get them renewed prior to their expiration dates.

Yes, unit leaders can make updates to member profiles through Scoutbook Plus. Please refer to the related screenshots in the Membership Renewal Screenshots documents linked in the Resources section at the bottom of this page for help on how to do this.

In addition to monthly Membership Renewal summary email messages from National, unit leaders (Key 3, Key 3 Delegates, or those with Regstration Inquiry access) can track membership status using the Roster in Scoutbook Plus. Also, please refer to the related screenshots in the Membership Renewal Screenshots documents linked in the Resources section at the bottom of this page for help on how to do this.

  • Youth can be approved by a member of the Key 3:
    • Chartering Organization Representative (COR)
    • Unit Committee Chair
    • Unit Leader
  • Adults can be approved by the COR or the COR Delegate only.

Contact the Council Registrar for assistance in having these items corrected. Please be sure to include the BSA ID numbers of the accounts and the specific corrections needed. Note that these requests will get prioritized accordingly based on the other Unit Renewal and Membership Renewal processes occurring. This will not affect the Unit Renewal process. 

There is a sixty day lapse period after the membership expiration date before the members is completely dropped and would then need to submit a new application to rejoin. 

However, the member is SUSPENDED between their membership expiration date and the date that their membership renewal is approved:

  • Suspended youth cannot work on advancement requirements and any leadership position tenure is at risk.
  • Suspted adults cannot be considered registered leaders and therefore do not count as two-deep leadership. They cannot attend camping events and their access to all online Scouting tools will be revoked until their membership renewal is approved.

No, National only accepts one full payment per person online. It is not possible to split the payment using the online renewal method.

No, the the Council Activity Fee for adults is actually $6 to cover the necessary additional Council insurance fee for members. This cost is included in the Council Activity Fee for the youth.

Yes, the online Membership Renewal system will charge members an addition 3% if paying with a credit/debit card.

For units using Unit Pay, online Membership Renewal system will charge, or $1 if paying by Bank Transfer/ACH.

The new membership expiration date will be one year for the previous expiration date regardless of when the user completes the renewal process and is approved. 

For example, if a member is set to expire on 10/31/2024 and the renewal and approval is completed on 9/21/2024, then the updated membership expiration date will be 10/31/2025.

Also, if a member is set to expire on 10/31/2024 and the renewal and approval is completed on 11/11/2024, then the updated membership expiration date will still be 10/31/2025.

All memberships for individuals are valid for twelve months. If a member’s primary unit does not renew and the member is not in any other units, then the member will be moved to the “Members without a unit” report that the District Committee Membership Chair reviews regularly and works will members on it to help them find new units so that they can continue their Scouting journeys!

Yes, but this must be done offline, in person at the Scout Achievement Center (SAC).

No, unfortunately not at this time. Only credit/debit cards are accepted online for individual/non-unit Membership Renewals.

After a member renews, that renewal will need to be approved by the unit. For adults, only the Charter Organization Representative (COR) or COR Delegate can approve. For youth members, any member of the Key 3 (i.e., Unit Leader, Unit Committee Chair, COR) can approve. Approvals are located at the bottom of the Roster page in https://my.scouting.org > Roster page. The unit Key 3 members should get email notifications that one or more membership renewal approvals are necessary, but there is a know issue in which that is not occurring for all members. Regardless, we recommend that you do a membership inventory at least once per month and check for renewal approvals at least twice per month, if not weekly or more often during the upcoming critical renewal period (9/01/2024-11/01/2024).

Unfortuantely, yes at this time. 

Families with more than two Scouts will only need to pay the Council Activity Fee for two Scouts (those with the higher of the tiers for the different program fees). The best way to handle this for now is to renew the two Scouts with the higher Council Activity Fees (e.g., Scouts BSA) online and then go to the Scout Achievement Center (SAC) to pay for the remaning Scouts in person to get the Council Activity Fee discount for them. Alternatively, if your unit is renewing its members on behalf of its family by paying with check at the SAC, they can note the discout(s) on the renewal form and only charge you the necessary fees.

The answer to this question will be updated if the options for this process change.

The cost of Scouting memberships for first grade is $110 ($25 activity fee plus the national fee of $85). There has, however, been a slight change to how membership fees can be collected:

If your Pack or you as an individual renews in person at the Scout Achievement Center, the $25 activity fee will be collected along with the national registration fee.

If you choose to renew online, due to limitations of the national office’s online system, you will be charged $55. To make up for this overage, each Tiger Scout who renews online will be mailed a $30 refund check to the address on file. It was previously shared that there would be a Scout Shop credit issued. This is no longer the process.

New members can join at any time and pay onlilne through BeAScout.org (unless this was disabled by the unit for their Unit Pin configuration) OR by submitting a paper application and payment (i.e., check) to the unit or at the Scout Achievement Center (SAC).

However, there is no way to collect those unit fees as part of the National new member application or Membership Renewal systems at this time.

Unfortunately not. This is currently not a feature of the National Membership Renewal system at this time. Members will get renewal notices until somebody pays for their membership. If the family does it before the unit can, then the unit will need to determine how to handle that situtation.

The most important thing that the unit can do is clearly and repeatedly communicate with its members on how Membership Renewal will work for them each year, including the expectations of the families.

The fees are not listed in the email notification, but will be displayed as part of the Membership Renewal payment process. It will list the National Fee, Council Fee, Service Fee, and Scout Life fee (if selected).

Membership (either new or renewals) and Unit Renewal are NOT related. They are separate process as of 2024.

All members join or renew individually. The unit can choose to renew and pay for its members as one of the Membership Renewal process options, but that is completely separate from Unit Renewal. Members are no longer listed on a unit charter. Memberships are individual, valid for twelve full months regardless of the unit charter date, and will be renewed separately from the unit.

Unit Renewal is seperate from any Membership Online applications do not work if the unit has not yet renewed, so it is important to get the Unit Renewal completed before the expiration date.
